Our client is a fast-moving, early-stage AI health technology company operating across two distinct business verticals, spanning clinical and performance/wellness.

About the Role

Our client is looking for an AI Native Executive Assistant to build and maintain the company's operational infrastructure. You will own the internal operating system, implement and integrate the AI toolstack, automate recurring processes, and serve as chief-of-staff support to the founder.

This is not a traditional EA role. You'll build tools and automations independently using no-code and low-code platforms, configure cross-platform workflows, and proactively replace manual processes with scalable systems. No traditional engineering background is required, but genuine comfort building with AI tools and automation platforms is essential.

Responsibilities

• Build and maintain a centralized company operating system in Notion, including OKRs, meeting notes, and project context
• Create a single source of truth across the organization and keep documentation current as the company scales
• Implement and integrate the AI-native toolstack, including Grain, Attio CRM, Linear, and other automation tools
• Configure permissions, workflows, and integrations for seamless cross-platform operations
• Stay current on new tools and proactively recommend additions or replacements
• Audit and automate recurring operational processes, replacing manual tasks with scalable systems
• Use tools like Claude, Cursor, Zapier, or Make to build internal automations, such as auto-populating Linear from monthly goals
• Track founder follow-ups and action items across two business verticals, ensuring nothing falls through the cracks
• Book travel, coordinate scheduling, and manage logistics on the founder's behalf
• Maintain visibility across both business lines and proactively surface blockers, priorities, and pending decisions

What We're Looking For

• Proven experience as an EA, chief of staff, or in operations, with a strong systems-building component
• Demonstrated ability to build workflows and automations using no-code or low-code platforms like Zapier, Make, or n8n
• Hands-on experience with AI tools such as Claude, ChatGPT, or Cursor in a professional context
• Experience building and maintaining Notion workspaces, including documentation, OKRs, and project management systems
• Familiarity with tools like Linear, Attio, or similar task tracking and CRM platforms
• Highly organized with strong follow-through, managing multiple priorities across parallel workstreams
• Proactive and self-directed with a bias toward building systems rather than managing tasks manually
• Excellent written English communication skills

Nice to Have

• Experience supporting a founder or executive across multiple business verticals simultaneously
• Background in an early-stage startup or high-growth technology company
• Familiarity with Grain or similar meeting intelligence and recording platforms
• Experience with basic scripting or prompt engineering to extend automation capabilities
• Exposure to health technology, clinical operations, or performance and wellness industries

Work Schedule

• 100% remote setup so you can work wherever you're most productive
• This position operates on a full-time basis , with dedicated hours to ensure alignment with the team and delivery of quality work
• Availability during US business hours , with high availability including reachability outside of standard hours when the situation calls for it

Compensation & Time Off

• Compensation paid in USD
• Paid bi-monthly on the 15th and 30th
• Paid Time Off according to company policy
• Holidays observed according to company guidelines
